The challenge
The merchant network accepted payments through several channels but struggled to match provider confirmations to customer obligations. Staff relied on screenshots and manual references, creating uncertainty around partial payments, failed attempts and settlement timing. Finance teams needed a dependable reconciliation process without taking on the role of a regulated payment provider. Customer support also required accurate transaction states before explaining discrepancies or initiating exception reviews.
Our approach
INNOVATE mapped invoice, payment and settlement states, then integrated licensed payment providers through controlled interfaces. The system used unique references, idempotent processing and verified callbacks to manage duplicate or delayed messages. Reconciliation rules separated successful customer payments from provider settlement, while exception queues supported human review. Access controls, audit logs and operating procedures governed refunds and adjustments, with sensitive payment credentials retained within provider-managed environments.
The result
The platform gave operations and finance a shared record of payment progress, outstanding balances and reconciliation exceptions. Support staff could investigate issues using transaction histories rather than unverified screenshots. Provider settlement remained distinct from payment acceptance, making financial review more precise. The merchant retained oversight of its receivables while regulated providers continued to perform payment processing, preserving a clear boundary between business administration and financial service provision.
