INNOVATE built a workforce platform for distributed service teams in Takoradi, connecting shift planning, attendance exceptions, supervisor approvals and payroll preparation.
The challenge
The service operator coordinated employees across client sites with different shift patterns and reporting expectations. Attendance records arrived through paper sheets and messaging groups, while substitutions and overtime approvals were difficult to reconstruct. Payroll preparation depended on supervisors resolving discrepancies late in the cycle. The business needed reliable workforce administration without introducing intrusive monitoring or treating every attendance exception as evidence of employee misconduct.
Our approach
INNOVATE translated employment rules and site requirements into configurable rosters, attendance records and approval workflows. Supervisors could document substitutions, absence reasons and overtime requests with supporting context. Offline-tolerant capture accommodated intermittent connectivity, while synchronisation checks flagged conflicting records for review. The platform limited personal data collection and restricted access by role. Payroll exports used approved records, with an exception process available before entries were finalised.
The result
Workforce administration moved from scattered attendance evidence to a structured record of planned and completed assignments. Supervisors had a consistent method for resolving exceptions, and payroll teams could identify which entries had received approval. Employees were supported by documented correction routes rather than opaque automated judgements. Management gained visibility into staffing coverage while retaining human responsibility for employment decisions and the interpretation of unusual attendance patterns.
