BUILD established a consistent management framework for an Accra residential portfolio, bringing tenancy administration, maintenance planning and owner reporting into a coordinated service model.
The challenge
The portfolio combined buildings with different tenancy profiles, maintenance histories and service arrangements. Lease records were not consistently linked to rent schedules, while reactive repairs competed with planned upkeep. Owners received property updates in different formats, making it difficult to distinguish collection issues from facilities problems. Residents also lacked a dependable route for understanding service responsibilities, raising requests and receiving updates on outstanding work.
Our approach
BUILD reviewed leases, arrears records, contractor arrangements and the condition of shared facilities before defining a common management standard. Property registers linked units, occupants, payment obligations and maintenance histories. The team introduced scheduled inspections, documented contractor instructions and resident communication routines, with escalation rules for safety and service interruptions. Monthly owner reports separated rent administration, operating expenditure, unresolved issues and decisions requiring approval.
The result
The portfolio moved to a management rhythm that made tenancy obligations and property condition easier to supervise together. Residents received clearer service contacts and maintenance updates, while contractors worked against documented scopes and completion checks. Owners could review comparable reports across buildings and authorise expenditure with supporting context. Planned maintenance became part of routine oversight rather than an activity displaced whenever urgent requests arrived.
